AniFest 2025 – Media Access & Release Agreement

This Media Agreement (the "Agreement") is made and entered into by and between the Japanese Cultural Exposition Group, a 501(c)(3) Non-Profit Organization doing business as AniFest 2025 ("Organizer"), and the undersigned media professional ("Media Personnel"). This Agreement outlines the terms and conditions for Media Personnel’s participation in AniFest 2025 (the "Event").

1. PURPOSE & ACCESS

Media Personnel is granted access to the Event for the purpose of capturing photos, videos, and other media content for documentation, promotional, editorial, or journalistic use. Access may be limited to specific areas as designated by the Organizer.

2. MEDIA OWNERSHIP & PUBLIC DOMAIN RELEASE

All photos, videos, and other media captured by Media Personnel at AniFest 2025 shall be considered to be released into the public domain. Media Personnel expressly and irrevocably relinquishes all exclusive rights to the media content, including but not limited to:

  • Copyright
  • Royalties or usage fees
  • Attribution rights
  • Exclusive distribution or commercial rights

The Organizer, attendees, and the public may use the media freely, including for commercial purposes, social media, marketing, and future event promotion without restriction or compensation to the Media Personnel.

3. CREDENTIALING & IDENTIFICATION

Media Personnel must wear any provided badge or credential visibly at all times while on-site. Media must follow all staff instructions and respect restricted areas, performance zones, or any guest privacy requests.

4. PROFESSIONAL CONDUCT

Media Personnel shall:

  • Treat all staff, guests, and attendees respectfully.
  • Refrain from obstructive or intrusive behavior, including during performances or panels.
  • Avoid photographing or filming minors without parental consent unless in general crowd shots.

Violation of this clause may result in immediate removal from the Event and revocation of credentials.

5. MEDIA USAGE BY ORGANIZER

Media Personnel grants Organizer an unlimited, perpetual, and royalty-free license to use any captured media for promotional or documentation purposes, even if it was posted on personal or professional channels first.

6. NO LIABILITY

Media Personnel assumes all risk for personal equipment, health, or safety while attending the Event. The Organizer is not responsible for lost, damaged, or stolen property. Media Personnel waives any claims against the Organizer for personal injury, loss, or damages incurred during the Event, except in cases of gross negligence or willful misconduct.

7. NDA & CONFIDENTIALITY

Media Personnel agrees not to disclose confidential or embargoed information about the Event, including:

  • Unannounced guests or programming
  • Backstage access or private communications
  • Internal logistics or security details

This obligation survives the conclusion of the Event.

8. CANCELLATION & REMOVAL

The Organizer reserves the right to revoke access and remove any Media Personnel for violation of this Agreement or event policies. No compensation or special access will be guaranteed or owed.

9. ARBITRATION CLAUSE

Any disputes arising under this Agreement shall be resolved via binding arbitration in the State of California under the rules of the American Arbitration Association. Each party shall bear its own legal fees. Emergency relief may still be sought through courts if necessary.

10. GOVERNING LAW

This Agreement shall be governed by and interpreted under the laws of the State of California. Any legal actions related to this Agreement shall be brought exclusively within California jurisdiction.
